How to set up a checkout form for digital or physical ICS gift cards

ICS gift card sales are facilitated through a third party called World Gift Card.

Rinsed can work with you and World Gift Card to support both digital and physical gift card sales online. We highly recommend selling digital gift cards only for fastest delivery and ease of setup. 

Digital ICS Gift Cards

CSM sets up World Gift Card integration

  1. First, contact World Gift Card (doug@worldgiftcard.com) to order your digital gift cards. You will need to provide a logo/image for the gift cards. 
    1. Copy your CSM on the email so they know to initiate the World Gift Card integration process on their end.
  2. Let your CSM know if you would like digital gift cards to be sent directly to the gift recipient rather than the purchaser.
  3. Your CSM will follow up with World Gift Card to gather your API credentials and complete the World Gift Card integration in Rinsed. Once credentials are received, this should take less than 1 business day.

Create items in your Point of Sale

  1. Work with ICS to create PLUs for the Gift Card items you would like to sell in WashConnect. Remember that you must set pre-defined gift card amounts, so you should create an item for every gift card denomination you wish to sell.
    1. If you want to do a gift card promotion where the price of the gift card ≠ the value of the gift card, make sure the PLU price is set to the full gift card value. (For example: if you are selling a $50 gift card for only $30, make sure to set the price of the PLU to $50.)
  2. Make sure that items are exposed to the API by adding them to your WashConnect external POS profile.

Create your Rinsed gift card checkout form

  1. Navigate to Checkouts > Checkout Forms. Click Actions > New Checkout Form. 
  2. Give the checkout form a name that clearly indicates it is gift card-specific. You should not sell any other item types on this checkout form. 
  3. Under replication group, select your ICS replication group.
  4. Under Edit Products, click Select a product... , then choose the gift card item you would like to sell. Click Add product and repeat this process for all additional gift card items.  
      1. In the Product Name field, add the customer-facing product name. This is what will appear in the confirmation email, so it should include any relevant discount/value information, such as "Gift Card - $50 Value for $30"
      2. In the Price field, enter the dollar amount that the customer should pay. (This may or may not be equivalent to the actual GIFT CARD value. If you are selling a $50 gift card for $30, set the price to 30.)
      3. If the gift card value ≠ the price, click Configure gift card value, then enter the number of dollars that should be loaded onto the card. (In this example, the value is 50, because that's what should be loaded onto the gift card).Under Edit Products, click Select a product... , then choose the gift card item you would like to sell. Click Add product and repeat this process for all additional gift card items.

  5. Check the Show gift recipient email field if you would like the recipient to receive a confirmation email upon purchase. *Note that this is simply a confirmation and will not contain the actual gift card.
  6. Above the checkout item selection, you will see a box called Skip ICS customer creation. Check this box if you would prefer that no customer or vehicle be created in Washconnect when a gift card is purchased. 
  7. Click Enable terms of service, then Create Checkout Form. 

Edit email templates

You will need to edit the purchaser confirmation email template and the gift recipient email template, if using. The gift card itself will be sent to the customer separately by World Gift Card. 

  1. Click on the Email Templates tab of your checkout form.
  2. Open the Checkout Confirmation template. 
    1. Make sure that you have REMOVED THE SALE CODE from the template.
    2. Here is some suggested language that we recommend including in your confirmation email. 
      1. If NOT using "Show gift recipient" option (gift card is emailed to purchaser):

Your purchase of [product name] was completed successfully! You will receive a separate email with the subject line: Gift Card Order from info@worldgiftcard.com with the gift card and instructions for redemption and tracking the card balance. You can forward that email to your gift recipient and/or print the barcode to share as a physical gift.

      1. If using "Show gift recipient" option (gift card is emailed to gift recipient):

Your purchase of [product name] was completed successfully! The gift recipient will receive a separate email with the subject line: Gift Card Order from info@worldgiftcard.com with the gift card and instructions for redemption and tracking the card balance. 

3. Click Update email template to save changes.

4. If using, open the Gift Recipient Email template.

    1. Make sure that you have REMOVED THE SALE CODE from the template.
    2. Here is some suggested language that we recommend including in your gift recipient confirmation email: 

[Purchaser name] just gifted you a [product name]! You will receive a separate email with the subject line: Gift Card Order from info@worldgiftcard.com with the gift card and instructions for redemption and tracking the card balance.

5. Click Update email template to save changes.

Test your form

We recommend running a test purchase and ensuring that the follow-up email from World Gift Card containing the actual gift card is received. 

Post the checkout form online

Using the embed code in the Preview section of the checkout form editor, embed the form on your website. From there, it's ready to be marketed to customers!


Physical ICS Gift Cards

CSM sets up World Gift Card integration

  1. First, contact World Gift Card (doug@worldgiftcard.com) to order your physical gift cards. You will need to provide a logo/image for the gift cards. 
    1. Copy your CSM on the email so they know to initiate the World Gift Card integration process on their end.
  2. Rinsed does not support a direct World Gift Card integration for physical gift cards. Instead, Rinsed can send a daily report to World Gift Card containing a list of gift card orders from that day. World Gift Card then fulfills the physical cards. Your CSM will work with the Rinsed Data Team to set up the report. 

Create items in your Point of Sale

  5. If you would like the gift recipient to receive a separate confirmation email, check the Show gift recipient email field.

  7. Click Enable terms of service.
  8. Click Create checkout form.

Edit email templates

  1. Click on the Email Templates tab of your checkout form.
  2. Open the Checkout Confirmation template to edit the purchaser confirmation. We recommend tailoring this confirmation message so that it includes language specific to gift card purchases. This is also where you can include instructions for the purchaser, such as "Gift cards will be mailed within 2-5 business days." 
    1. Make sure that you have REMOVED THE SALE CODE from the template.
    2. Click Update email template to save changes.
  3. Open the Gift recipient email template, if using. You will also want to add any instructions specific to your wash's process (such as "Show this email onsite to receive your physical gift card!") 
    1. Make sure that you have REMOVED THE SALE CODE from the template.
    2. Click Update email template to save changes.

Test your form

We recommend running a test purchase and checking in with your CSM and World Gift Card to ensure that the WGC team received a report within 24 hours containing the details of your purchase. 

Post the checkout form online

Using the embed code in the Preview section of the checkout form editor, embed the form on your website. From there, it's ready to be marketed to customers!
