Contact Lists and Contact Forms Overview

A guide on how to set up and leverage contact lists and contact forms in Rinsed

What are Contact Lists and Contact Forms?

Contact Lists are lists where customer contact information is stored. Contacts can be added to the list via a Contact Form, or via a Contact import. 

Contact Forms are simple forms that you can send out to customers to collect various bits of contact information, such as the customer’s name, phone number, email address, and birth date. Each Contact Form has a corresponding Contact List. Once a customer fills out a Contact Form, their contact information will be stored in the corresponding Contact List.

What are Contact Lists and Forms used for?

Contact Forms are a simple, user-friendly way to collect contact information from your customers. By collecting more contact information, you can more easily communicate with your customer base to share business updates, promotional content, etc. 

If you want to offer an incentive in exchange for a customer’s contact information, you can use the Rinsed platform to distribute voucher codes to your contacts. Talk to your Rinsed CSM about setting this up!

Once you have a Contact List containing customer phone numbers/emails, you can create Audiences in Rinsed to start messaging these customers.

How to create a Contact Form

To create a Contact Form, you first need to create a Contact List.

  1.  Click Marketing> Contact Lists> Actions> New Contact List.

2. Give your contact list a name that will be easy to recognize later on (i.e. "Spring 2024 Free Wash Promo")

     a. Allow duplicate toggle:  Leave this OFF if you do not want the same phone number or      email address to be entered on the list twice. It is important to disallow duplicates if you are distributing vouchers in the confirmation message, to ensure that the same customer does not receive multiple codes.

3. Click Create Contact List. 




4. Now you are ready to add a contact form, which will flow contact info into the contact list you just set up. 
5. Click Actions> Add Form. 

6. Using simple on/off toggles, you can now customize the info you choose to collect on your form. You can also use toggles to make certain fields required or not required. 

7. Scroll down to prefer confirmation via. If you are collecting BOTH an email and a phone number on the form, this setting allows you to choose how to send a confirmation message (via text, via email, or both). 

8. Click Create Contact Form. 

9. To see how your form is looking, click Actions> Test out the contact form. 

Adding a Confirmation Message to your Contact Form

1. Open the Contact Form page (Marketing> Contact Lists> select your contact list> Select the linked contact form)

2. To add a text or email confirmation, click Actions> Add text template or add email template.

3. Scroll down to Text Message Templates or Email Templates and click edit.

4. You can now make any desired changes to the text/email confirmation for this contact form. Here is where you can also include a voucher code, if desired.

Sharing Your Contact Form

There are two ways to make a contact form accessible to your customers.

1. Embed the form on your website (recommended). All Rinsed forms are iframes that can easily be embedded on your website. To embed a contact form:

     a. Open the Contact Form in Rinsed.

     b. Scroll down to the HTML snippet.

     c. Copy the HTML shown there and send it to your web team. They can then embed the form on a page on your website. 

 

2. Use the Rinsed-hosted version of the form.

    a. If you prefer not to put the form on your website, you can use the Rinsed-hosted version which will have the same functionality. However, the form will be hosted on a Rinsed URL (i.e. yourcarwash.rinsed.app.co/contact_forms/400.

    b. To access the Rinsed-hosted form:

         i. Open the contact form

        ii. Click Actions> test out the contact form

        iii. Copy the URL in your browser. This is a shareable form link that can be shared via text/email, linked in advertisements, tied to a QR code, etc. 

How to view Contact Form Submissions

To view contact form submissions at a glance, go to Marketing> Contact Lists. In this dashboard, you'll see the number of Contacts and Phone Numbers collected on each list.

To see submitted contact info in more depth:

  1. Open the contact list.
  2. Scroll down to contacts. Here you'll see a paginated list of all the contacts (both manual uploads AND contact form submissions). 

3. To get a fuller view, click Actions> Export Contacts. This will generate a .csv file with the full contact details.
