Fleet Plan Billing

Rinsed Fleet Plans' flexible invoicing supports both credit card and non-credit card billing for your convenience.

With Rinsed Fleet Plans, we offer billing options that work for every fleet program. Rinsed Fleet Plans support credit card, non-credit card, and tax exempt accounts effortlessly.

Credit Card Billing (Automated)

Any Fleet Plan created through a Fleet checkout form will be set up with automated monthly billing to the Fleet owner's card on file.

If you'd prefer to collect payment through some other method, proceed with the Manual Billing steps below!

Manual Billing

Create a manually billed fleet plan:

  1. Make sure the Fleet Program has already been created. (See the <Fleet Setup Guide> for details).
  2. Under Customer Management, select Fleet Plans.
  3. Click Actions > New fleet plan.
  4. Select the Fleet Program under which you would like to create this manually billed Fleet Plan.
  5. Input the number of vehicles you are choosing to add to the plan.
  6. Add the contact information for the fleet owner (the person who will be managing the fleet going forward). This is the person who will be able to log into the customer portal to manage this fleet account.
  7. Add special billing notes as desired (i.e. "Net 30, pays with ACH")
  8. Save fleet plan.

Note: Once you have created a new manually billed fleet in Rinsed, this will create club plans that allow customers to wash immediately. You are responsible for collecting payment from your customers thereafter, and you accept the financial risk of delayed or missed payment.

View billing information and generate invoices:

Admins and Fleet Manager users can use the Billing report to see an itemized total for the Fleet's billing period to generate an invoice, or export the data as a CSV. From there, you can collect and track payments however you'd like.

1. To open a manually billed Fleet Plan, select Customer Management > Fleet Plans. 

2. Click Billing. This button will appear for any manually billed fleet plans.

3. From here, you can:

  • Export billing information as a CSV
  • Add custom Notes
  • Toggle to past months' invoices

Note: Customers with manually-billed fleet plans can still use the Customer Portal to manage their Fleet account, but the Billing section will be hidden.

Tax Exempt Fleets

To make a Fleet tax-exempt, simply check the Tax exempt box in your Fleet Program settings! A detailed Fleet Program setup guide can be found here
